Illustrative operating cases

Two cases. Every handover explained.

01Illustrative scenario

Receive supplies and issue them to a department

A store receives a supplier delivery and later supplies a clinical department.

Prepare first
Products, units, source and destination stores, supplier references and opening lots.
  1. Confirm the supply request, item and expected quantity.
  2. Record actual received lots, quantities, cost and expiry against the delivery.
  3. Issue or transfer the required quantity to the named department and location.
  4. Review remaining stock and reconcile receipt and issue references to the accepted count.

Acceptance evidence

Each movement has a source, destination and lot reference, and balances reconcile.

02Illustrative scenario

Short delivery discovered during stock count

Delivered quantities differ from the request and a later count shows an unresolved variance.

Prepare first
Receiving inspection, supplier escalation, count evidence and adjustment authority.
  1. Record the delivered quantity rather than copying the order quantity.
  2. Separate damaged or disputed items under the approved stock procedure.
  3. Review pending receipt and issue records against the physical count.
  4. Approve a documented correction or adjustment and reconcile supplier and finance references.

Acceptance evidence

The variance has an identified cause, owner and approved resolution with before-and-after totals.

04

Worked operating scenarios

When the normal path changes.

Short delivery or damaged items

Record actual receipt, identify the affected lots and route the discrepancy to the supplier and inventory owner.

Count differs from recorded balance

Review unposted receipts and issues, approve the adjustment reason and retain the before-and-after reconciliation.

05

Delivery boundary

Know what connects, and what needs approval.

Stock and supply records support departmental activity. Procurement approvals, accounting exports, barcode devices and external warehouse systems require explicit scope and testing.
